Main purpose of the role:
Apply policing knowledge and experience to assist with development of the Force Asset Register and other Legislative Data Protection responsibilities in relation to Records Management. This includes close liaison with colleagues in Kent ITS, Information Asset Owners and their Assistants. Consider the outcome of the ICO consensual audit to make appropriate improvements to all relevant records management processes.
provide support and advice to Information Asset Owners and Assistants to ensure they can understand how to complete the Forces Information Asset Register (IAR) in order to obtain maximum operational benefit from the information.
communicate with all stakeholders to ensure they are kept sighted on progress with the Information Asset Register development.
ensure data captured within the IAR is used lawfully and compliantly within the Forces in accordance with data protection rules and MoPI.
identify and develop the IAR in line with available O365 applications. Communicate proposed changes or issues with the IAR with the Records Manager and ITS, coordinating discussions to identify and implement fixes and solutions, fulfilling the operational role, advising ITS etc as to the operational impact and or advantage of resolution options or changes.
complete any other tasks which form part of the continually developing IAR to ensure that the register is fit for purpose and meets the Forces legislative responsibilities under the Data Protection Act 2018 such as a Records of Processing Activity function.
consider the outcome of the ICO consensual audit to make improvements to the IAR and any other records management processes.
identify opportunities to inform IAOs and assistants about the benefits of tools such as retention labelling in Sharepoint to support them with their ongoing management of their records.
Recruitment Vetting (RV)
The Information Asset Register PC will ideally have a minimum of 2 years operational policing experience in a local policing role.
Experience of working with Data Protection legislation and/or the Management of Police Infomration in a police environment is desirable.
Highly effective verbal and written communication, negotiating and influencing skills, and being a good team player are essential, as the post holder must be capable of engaging with and presenting to staff at all levels both within the Force and its external partners.
Experience in driving cultural, behavioural, operational and process change will be an advantage.

Management of Police Information (MOPI) (level 4)
Full compliance with Level 3. Has successfully completed all standard relevant Information Management and Security training package(s). Accurate use of Government Security Classification (GSC). Ensures physical and digital records are stored with appropriate security relevant to the sensitivity of the documents and has working understanding of appropriate National Retention Schedules. Is able to quality assure own records management processes as well as those of any staff for whom they have supervisory responsibility. Is aware of where to seek further support in relation to Records management within force when necessary. If nominated as an Information Asset Assistant is familiar with the NPCC Information Asset Owners Handbook.
Proactive Crime Investigation (level 4)
Effectively plans and prepares work in order to progress a proactive investigation. Aware of the operational objectives and priorities, ensures effective recording of actions and decisions. Has a good understanding of the relevant legislation, policy and procedures appertaining to a proactive investigation .e. R.I.P.A. etc.
Risk Management (level 3)
Demonstrates an awareness of personal risk management issues, challenges or difficulties likely to affect the post holder in the execution of their duties. Able to anticipate risks likely to affect their work and knows how to communicate the likelihood and possible impacts of such events to line managers or supervisors.
Surveillance - Equipment (level 4)
Has a basic understanding of what surveillance equipment is available and is able to demonstrate a good working knowledge of the equipment that they have used. And have a good working knowledge for the acquisition and use of CCTV both in relation to police operations and in public and private systems, and demonstrates the ability to use these in practical situations.
